Description
The Information Systems Coordinator is responsible to provide support to all Information Technology and Systems operations including network security and telecommunications and security systems for Community Services (Calgary) in conjunction with an external IT Consultant.
The incumbent is responsible to ensure all technology operations are in accordance with The Salvation Army policies and accreditation standards.
KEY RESPONSIBILITIES:
Network Support
- Manage network equipment and services, according to The Salvation Army policies, to ensure required performance levels are achieved.
- Ensure optimal network security.
- Provide and maintain secure remote access ability to the network.
- Ensure optimal WI-Fl performance, network and web server availability.
- Ensure that all IT systems and devices are secure from hackers and addresses any vulnerabilities.
Equipment and software support
- Inspect and Identify program technology needs and provide recommendations; coordinate necessary purchases and installations
- Diagnose and resolve issues for all hardware, software and application programs, including email, according to program specifications.
- Provide staff support with electronic devices such as televisions, time clocks, etc.
- Maintain inventory of all computer and related equipment and their locations.
- Maintain appropriate filters for all computer systems.
- Ensure compliance of computer usage policies.
- Ensure all software licenses are current and accurate.
- Ensure that regular backups of data are performed and regularly tests the backups to ensure they are working; stores backups off-site; ensures all data can be recovered in the event of a disaster.
- Ensure that the residential client database and other programs are functional, meet the user needs and integrate with the programs.
- Ensures all photocopiers are always in working order by troubleshooting problems and arranging for servicing.
- Administer the recycling program for broken and obsolete equipment.
- Setup and remove computers systems for seasonal and other programs.
- Provide support for website and platforms.
Telecommunication systems
- Ensure current and future telecommunication needs of the organization are met, review and recommend changes and improvements to information and telecommunication systems.
- Manage phone systems including staff additions/changes, troubleshooting and repair, programming feature and liaising with the service provider.
- Maintain phone directory for all sites.
- Run and terminate wiring for phones and ensure that wiring installed by contractors is properly installed.
- Coordinate employee cell phone purchases, reset voicemails, and troubleshoot cell phone issues.
- Maintain fax server.
Security systems
- Maintain security camera systems including ensuring full operation of security cameras and digital video recorder and troubleshoot issues.
- Provide video footage of incidents as requested to authorized personnel.
- Maintain building access card readers and intercom systems, evaluate and correct problems and perform security systems audits.
- Program access cards as needed.
- Maintain stairwell alarm systems.
CRITICAL RELATIONSHIP MANAGEMENT

- Consults with the External IT Consultant on non-routine matters and for situations requiring advanced troubleshooting

MANAGERIAL/TECHNICAL LEADERSHIP RESPONSIBILITY:
- Reports directly to: Business Manager
- This position has no direct reports but provides advice and recommendations to program directors/managers relating to Information Technology and security matters
FINANCIAL AND MATERIALS MANAGEMENT:
- Responsible use of a corporate card per policies and procedures
- Responsible for the optimal operation of an estimated $500,000 of information technology and electronic assets, in conjunction with the Business Manager.
WORKING CONDITIONS:
- Work is primarily performed within an office setting.
- The performance of the job requires bending, walking, lifting and standing.
- Flexible work schedule and 24/7 on-call availability is required to attend to emergencies.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:
- Certificate from a recognized college or technical school and A+ Certification.
- Completion of a two year diploma in computer science, engineering or other relevant field.
- Police Information Check with Vulnerable Sector Search
Alternative combinations of education and experience may be considered
PREFERRED SKILLS/CAPABILITIES:
- Minimum 3 years' experience in relevant field
- Proven experience in managing computer systems including hardware and software
- Knowledgeable about telecommunications and security equipment/ systems
- Demonstrated ability to troubleshoot issues and repair issues.
- Knowledgeable about common operating systems
- Proficient in Microsoft 365 Suite to be able to support staff with issues; advanced proficiency in MS Access.
- Attention to detail, problem solving and analytical skills.
- Able to proactively recognize potential risks and issues, respond with solutions and engage with others in implementing changes
- Strong sense of integrity and confidentiality with professional ethics.
- Enjoys helping people and has a customer service posture.
- Analytical and problem-solving skills that enable diagnosis of technology issues and solutions to fix them.
- Resourceful and creative to come up with ideas to improve processes or find products that meet program needs.
- Strong communication skills (verbal/ written); able to explain technical matters to non-technical staff in terms they can understand both verbally and by email.
- Organizational skills to keep track of various tasks/requests/projects and be able to prioritize them efficiently.

- Able to lift, move and install equipment, regularly lifting up to 20 pounds and at times lifting up to 50 pounds.
