The Community Relations/Volunteer Coordinator supports the work of the management team, offering expertise and strategic oversight of digital/social media marketing and establishing and implementing a strong volunteer program for the Ministry Unit.

HOURS:

  • 35 hours/week, Monday to Friday 8:30am to 4:00pm. Flexible hours may be required during our busy Christmas season or for occasional special events

KEY RESPONSIBILITIES:

Communications: 20%

  • Recruits, on-boards and trains volunteer team supporting website and social media plans for Boundless Vancouver. Delegates duties appropriately.
  • Working with volunteer team strategizes, schedules, and produces social media accounts to highlight ministries, recruit volunteers and monetary and gift-in-kind donations.
  • Working with volunteer team, manages WordPress website(s) with updates, maintenance, SEO optimization and relevant local content production with the support of Territorial public relations stories, assets, and events.
  • Working with volunteer team, provides in-house graphic support to assist with the design and production of collateral materials including, but not limited to, advertising, brochures, newsletters, info graphics, annual reports, impact reports, online promotions, etc.
  • Produces quarterly email newsletters featuring local programs, staff, volunteers, and The Salvation Army globally.
  • In collaboration with management team members, will implement web-based donor-relations strategies/communications to ensure continued donations through community partners.
  • Provides on-site support for media relations events, photo shoots and video productions.
  • Produces various written materials such as posters, brochures, press releases, proposals, thank you letters, etc.

Volunteers: 70%

  • Works with management team members to determine year-round and seasonal volunteer needs for Boundless Vancouver’s integrated mission and develops recruitment tools and processes.
  • Supports the MUs planning and implementation of programs by ensuring that volunteer engagement is consistent across all initiatives.
  • Ensures adequate volunteer support is in place for the annual Christmas Kettle Campaign. Works to build this volunteer base.
  • Building on the work of summer students, supports the Kettle Planning Committee Chair and Seasonal Kettle Coordinator by recruiting and on-boarding kettle volunteers – both individuals and groups – for bell-ringing, counting, pick-ups, etc. Priority focus will be given to this from late September through December.
  • Develops volunteer “ask” forms for use by program supervisors to support appropriate recruitment/deployment of volunteers. Assesses effectiveness and adjusts/updates as needed.
  • Supports the development of current position descriptions for all Volunteer positions at Boundless Vancouver. Works with Supervisors to update as needed.
  • Regularly engages with active volunteers in support of volunteer retention.
  • Introduces volunteers to all program leaders to facilitate integrated mission.
  • Conducts routine surveys with volunteers for the purpose of improving volunteer programs.
  • Communicates regularly with all volunteers (year-round and seasonal) about volunteer needs and potential for increased engagement.
  • Trouble-shoots complaints/issues expressed by volunteers to ensure best practices.
  • Pursues relevant community-based volunteer recruitment opportunities (school fairs, volunteer fairs, seniors’ fairs, etc.) in support of Boundless Vancouver’s volunteer program.
  • Recruits, on-boards, and schedules volunteers. Ensures a sound hand-over to program Supervisors.
  • Oversees the development, streamlining and ongoing maintenance of the ministry unit’s confidential volunteer database and scheduling program (Salesforce). Maintains volunteer service statistics. Provides management team with reports, as requested.
  • Plans and coordinates appropriate volunteer recognition and appreciation events.

General Team Support: 10%

  • Will serve on in-house Committees (ie. Kettle Planning Committee, Christmas Toy Shoppe Committee, etc.)
  • Liaises with and supports programs with agenda items, scheduling, reports, and other information as needed.
  • Assists and supports third-party events benefiting The Salvation Army (ie Volunteer Vancouver).
  • May support the development of formal and informal verbal and written translations to facilitate engagement with Mandarin- and Cantonese-speaking community members.

Responsibilities for Financial Resources:

  • May be authorized to handle small amounts of cash or Christmas kettle funds, according to policies.
  • May hold a corporate credit card for expenses related to volunteers and online platform management.

Work Environment and Exposure to Hazards:

Serves in an office environment within a busy CFS ministry. The location of work may create a possibility of experiencing the following disagreeable conditions:

  • angry/abusive people and verbal abuse.
  • minor risk of harm, injury, illness due to physical attacks from others and/or exposure to infectious diseases.
  • Other potentially dangerous situations

Precautionary Measures:

The following would be an asset for the incumbent (in addition to health and safety rules):

  • WHMIS

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education/Certifications:

  • The successful candidate must have completed three years post-secondary education.

NOTE:  An alternative level of education and experience may be acceptable.

Experience/Required Skills/Knowledge:

  • Digital Marketing expertise with strategies for marketing and promotions in non-profits.
  • Characteristics: energetic, takes initiative, team player, organized and productive.
  • Experience in the non-profit sector is an asset, with exposure to fundraising initiatives.
  • Volunteer recruitment and management experience.
  • Knowledge of Volunteer Management database system (Salesforce) an asset.
  • Strong communication skills – both written and interpersonal.
  • Organizational skills – scheduling, planning.
  • Creative and flexible with the ability to adapt based on team, program, and service needs.
  • Knowledge and skill in social media platforms and management (Facebook, Instagram, Google Business, Google Ads, Later).
  • Basic Knowledge in website management (WordPress and plugins).
  • Knowledge and skill in Microsoft Office (including Excel, Word, and PowerPoint, and Outlook).
  • Knowledge of digital production and graphic design (Adobe Creative Cloud: InDesign, Photoshop, Flash, and Illustrator).

Successful candidates, prior to hiring, may be required to provide:
