This is a part-time position at 10 hours per week.

KEY RESPONSIBILITIES:

Administration

  • Performs general office duties such as:
    • answers and screens telephone calls
    • directs and answers inquiries
    • files documents electronically and manually
    • photocopies and distributes materials as requested
    • opens and distributes incoming mail, and processes outgoing mail
  • Drafts and prepares power point presentations, weekly bulletins, monthly calendars, brochures and posters as needed by Family Services, Church & fundraising campaigns – subject to supervisory approval
  • Builds and maintains databases (e.g., employee/volunteer information, contact lists, inventory, hours worked); maintains input into Salvation Army Management Information System – S.A.M.I.S
  • Responsible for Element entries in TEM
  • Handles and reconciles petty cash
  • Handles and reconciles gift card log and report
  • Completes bank deposits, as needed
  • Handles a variety of financial and administrative transactions inclusive of payment and filing of invoices, assisting with the receiving and receipting of donations
  • Prepares and maintains a property maintenance schedule and reports property issues
  • Handles requests for equipment servicing.
  • Performs other duties as assigned

Human Relations

  • Handles and ensures protection of extremely confidential and sensitive employee, client and / or program files
  • Assists with the preparations of the annual Employee Evaluations
  • Prepares, records, submits and maintains staff timesheets
  • Uses HRIS as per HR procedures

Family Services

  • Responsible for receipting donations during Christmas Season
  • Assists with the Food Bank during peak food drives
  • Provides support for Christmas assistance
  • Assists with community events

Other work-related duties as assigned.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Education, Qualifications and Certifications:  

  • Completion of high school diploma.
  • A certified learning facility completion in the field of office administration will be considered as a strong asset.

Experience and Skilled Knowledge Requirements  

  • The incumbent will have a minimum of 2 years of prior related experience, including office administration, accounting, and finance operations.
  • An equivalent combination of education and experience may be considered.

PREFERRED SKILLS/CAPABILITIES:

  • Respect and understanding of The Salvation Army – its mission, culture, and values.
  • Demonstrates an ability to work independently and collaboratively with others.
  • Excellent computer skills in Microsoft Office (Word and Excel and Outlook) are essential.
  • Must be well-organized, adaptable, and professional.
  • Attention to detail, problem solving and analytical skills.
  • Must have a strong sense of integrity and confidentiality.
  • Excellent written and oral communication skills.
  • Excellent interpersonal, organizational, and coordination skills.
