Position Purpose summary:

The Volunteer Coordinator is responsible for all aspects of volunteer management.  In a cooperative and team-based environment, the incumbent will oversee and supervise volunteers.  The incumbent will organize and coordinate all volunteers and volunteer efforts.

KEY RESPONSIBILITIES:

ACCOUNTABILITIES:

 

General

  • Manage community volunteers which includes their recruitment, orientation, scheduling, monitoring performance.
  • Developing goals and objectives for the volunteer program.
  • Develop, implement and review of policies and procedures relating to the volunteer program.
  • Develop volunteer assignment descriptions and other appropriate materials to guide volunteers in their overall performance.
  • Create and assist in presentations promoting volunteer opportunities to corporations, schools and the general public as required.
  • Monitor the performance of all volunteers to ensure high quality services are provided to our clients and other departments.
  • Provide visibility for The Salvation Army within the community through relationships with people and corporations in our community.
  • Ensure divisional standard followed for all volunteers.

 

Programs

  • Maintain a year-round focus, promoting awareness and building partnerships for the kettle campaign in consultation with the Community & Family Services Officer.
  • Work with the Community & Family Services Officer to secure strategic kettle locations throughout the community and liaise with locations before, during and in appreciation, after the campaign.
  • Manage the kettle schedule to ensure maximum coverage of all kettles shifts and locations by organizing shifts with volunteers, service groups and approved kettle workers.
  • Coordinate the drop off and pick-ups of kettles/stands/supplies as well as the counting team and deposits of money daily.
  • Ensure that there are volunteers to support a variety of programs, i.e., Community dinners, Community Garden & Gather, Food Bank, Christmas Toy Shopping, pickups in the community etc.

 

Administration:

  • Maintain the volunteer database as well as any required paperwork in keeping with Salvation Army policies and procedures.
  • Ensure that background checks, driver’s abstracts, e-learning Health & Safety and Armatus Training etc. are up to date.
  • Collects data and reports on statistics pulled from TSA programs.
  • Maintain a working list of contacts, connections and partnerships made that support the unit.
  • Responsible for various correspondence, newsletters, and administrative duties and will assist with the unit’s website and social media.

 

Perform other duties as required.

 

WORKING CONDITIONS:

  • This is a permanent part-time position based on 10 hours per week.
  • Flexibility in scheduling is required and will vary, including weekday, weekend, and evening work.
  • The work environment is typically in a general office setting in generally agreeable conditions with the following exceptions, Dealing with difficult people.
  • Ability to lift move up to 20 lbs.
  • Computer use, sitting at a workstation, Christmas Kettle collection/pickup, paperwork, filing, meetings.
  • Travel is associated with this position up to 10% of time. Required to use a commercial program vehicle.

 

Normal hours of work:  will be set in consultation with the supervisor as per operational requirements.

 

Please note there will be a seasonal temporary increase in hours to a maximum of 30 hours per week for a 6-week period during the months of November and December and includes a ½ hour unpaid meal break as required.  The incumbent will be required to work 5 hours (afternoons) per day for 6 days a week for 6 weeks.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

EDUCATION, QUALIFICATIONS AND CERTIFICATIONS:

  • Completion of up to two (2) years of Community College, preferably a Volunteer Management Certificate or equivalent in a related field of study.
  • Alternative combinations of education and experience may be considered.

 

EXPERIENCE AND KNOWLEDGE:

  • Minimum of two (2) years prior related experience in volunteer coordination and office management, preferably in a non-profit environment.
  • Proficient in a computerized environment; must have strong skills using Microsoft Office Suite, Word, Power Point and use of social media.
  • A valid Ontario Class “G” Driver’s License, a current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required.

 

Skills and Capabilities:

  • Proficient in a computerized environment; must have strong skills using Microsoft Office Suite, Word, Power Point and use of social media.
  • A valid Ontario Class “G” Driver’s License, a current copy of driver’s abstract that is satisfactory to The Salvation Army, in its sole discretion, is required

  • Ability and willingness to develop an understanding and support for the mission and purpose of The Salvation Army in Canada and its implications as related to position responsibilities.
