This is a full time position based on 37.5 hours per week.

  • Greet visitors and handle incoming telephone calls in a timely manner; direct calls to the appropriate person.
  • Ensure reception is tidy and presentable, with all necessary promotional brochures and pamphlets etc.
  • Answer questions from the general public concerning The Salvation Army programs and services.
  • Provide basic and accurate information in–person and via phone/email.
  • Maintain office security by following safety procedures and controlling access via the front entrance and reception desk (monitor visitor log-book.)
  • Handle parking lot access entry for visitors and maintain parking card database.
  • Sign for all incoming parcels and deliveries, mail etc.
  • Monitor security camera and notify Supervisor of any suspicious activity.
  • Accept monetary donations and provide temporary receipts.
  • Monitor and verify that each Ministry Unit has completed their monthly reporting of Divisional program statistics as per the reporting deadline.  Follow-up with Ministry Units as necessary should they fail to meet the reporting deadline.
  • Maintain accurate statistical files and reports.
  • Ensure that the Divisional Commander receives the monthly statistic verification report within five (5) work days after the monthly reporting deadline.
  • Coordinate the initial set-up of voice-mail and trouble shoot etc. for the phone system.
  • Perform other related duties as required.


  • Completion of a Community College program, a diploma or certificate in Administration, Business Administration or related field.
  • Minimum of one (1) year of previous experience focused on providing professional receptionist and administrative support services.
  • Proficient in office procedures (telephone, photocopier, scanner, fax machine, boardroom reservations, etc.)
  • Exceptional customer service skills and professional telephone manner.
  • Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone.
  • Strong problem-solving skills.
  • Adaptable, proactive, and the ability to work independently.
  • Ability to learn, adapts, and utilizes technology and processes quickly.
  • Demonstrate strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines, attention to detail, ability to complete assignments and meet deadlines with minimal supervision.
  • Must have strong interpersonal and communication skills (written/oral) and an ability to work cooperatively.
  • Ability to lift/move more than 10 lbs. (4.5kg)
  • Self-motivated and disciplined.
  • Demonstrate a high level of integrity, good judgment and ability to maintain appropriate confidentiality.
  • Proven attention to detail and aptitude for accuracy and thoroughness and consistent follow-up skills and flexibility.
  • Proficiency in all Microsoft Office products is required - i.e. Word, Excel, Publisher, PowerPoint, etc.
  • Support for and an understanding of the mission and purpose of The Salvation Army in Canada.
