Position Purpose summary:

The Administrative CFS Worker provides support in the areas of finance, bookkeeping, reception, record-keeping, data entry, and internal and external communication.  The position works to support the Corps (church) and CFS.  This position provides assistance as directed by the Ministry Unit to individuals and families within our service area with a holistic approach in accordance with The Salvation Army’s mission, values and standards.   This role will oversee volunteers providing operational guidance to ensure that all Salvation Army policies are adhered to.



  • Provides a community needs analysis/ assessment to ensure that programming created reflects client/ community needs and ways we could partner with other organizations
  • Participate in development of, strategies and plans for implementing and delivering new/revised program initiatives.
  • Interview, assist, evaluate and implement plan of action with client and provide assistance
  • Provide referrals to appropriate ministry offered at the Corps or other agencies
  • Remain informed and work with local community services agencies to coordinate resources and ensure that client needs are met
  • Regularly participate in community meetings to strengthen community services
  • Complete applications and document discussions and services provided using Link2Feed software
  • Provide clients vouchers or book client hotels as appropriate
  • Contact, on behalf of clients, Ontario Works, disability workers, public utilities, landlords, Legal Aid, Corrections Canada, Probation officer, social worker, adult protection worker or police.
  • Complete forms for Social Services for statistics and reimbursement from the appropriate fund for assistance given
  • Receive food donations in friendly and appreciative manner
  • Maintain Supply of food products for distributions. (place order, pick up, unload and put away)
  • Arrange for Railside Deliveries
  • Work within the approved budget
  • Ensure that clients’ needs are met in compliance with Salvation Army policies and in cooperation with other agencies
  • Ensure work areas are kept clean, tidy and safe
  • Ensure donations are organized to date and appropriate locations.
  • Pack hampers and ensure they are available at all times
  • Pick up donations as required
  • Assume responsibility for The Salvation Army Camp Program (registration and organization of drop off and pick up)
  • Ensure food bank and facilities are kept clean, tidy and safe daily
  • Recruit, train, coach, mentor and supervise volunteers, addressing any concerns
  • Coordinate/organize food drives, Christmas hampers, Summer Camp, Community Dinners
  • Create/build and leverage: service club participation, media relations, public relations, social media etc., to ensure effective marketing of TSA program(s)
  • Other duties as assigned or directed


  • Receive and greet guest and telephone calls in a prompt, dignified, compassionate manner; Respond or redirect as appropriate.
  • Responsible for handling e-mail inquiries in a prompt, friendly, and efficient manner.
  • Draft, prepare, and distribute weekly bulletins, monthly calendar, posters, invitations, etc.
  • Mail pickup and processing
  • Receive, document and provide temporary receipt of donations.
  • Ensure volunteer sign in/out
  • Ensure the Salvation Army Monthly Information System (SAMIS) statistical reports are completed and submitted in a timely manner
  • Maintain filing system
  • Monitor, maintain and keep organized an adequate stock level of office supplies
  • Maintain Corps Directory; all Rolls and Registers
  • Ensure foyer is welcoming and appropriate material in on display
  • Ensure all Police Checks/Praesidium Armatus training are up to date
  • Schedules for after service refreshments, ushers, etc.
  • Assist with the planning and executing of the Annual Harvest Auction, including approaching and follow up with businesses for auction items.
  • Ensure office calendar is up to date as events are scheduled
  • Order supplies as necessary
  • Prepare reports as required
  • Create and Edit weekly Easy Worship slides for Worship Services
  • Maintain Front Signage as directed by Corps Officer
  • Arrange for repairs to quarters and corps building as requested
  • Prepare and/or distribute various forms of correspondence as required by the Corps Officers
  • Maintain and update inventory lists on a regular basis and submit to head office as required
  • Set up and process all building rentals
  • Maintain control logs
  • Monitor stored financial reports and destroys old reports as per retention of records policies
  • Maintain a neat, tidy, and safe work area and ensure area is left neat at end of shift
  • Other duties as assigned or directed


  • Ensure all Ministry Unit accounts payable (AP) invoices are coded according to the budget and submitted for payment to Octocom/Agresso in a timely manner to avoid late fees
  • Follow up on AP invoice enquiries from vendors and or staff members
  • Process cash receipts and contributions/monetary donations from the general public, church members, clients, etc.
  • Prepare and deposit funds to the local bank and enters into the accounting system.
  • Liaise with local banks on issues pertaining to the ministry unit
  • Issue tax receipts as required for charitable giving
  • Ensure the maintenance and accuracy of ledgers through regular review of ledgers in all departments; drafts and processes journal entries into the financial system of the ministry unit
  • Prepare for audits
  • Report any discrepancies in budget
  • Process Corps Officers expense claims
  • Process cheque request as required
  • Ensures the maintenance of Petty Cash fund; ensure balance is appropriately safeguarded and replenished on a regular basis
  • Maintain proper records and ensure that all legal requirements concerning the finance of the Ministry Unit are met
  • Adhere to the operating policies of The Salvation Army concerning Employees and finances


  • Christmas Mailing appeal preparation, processing deposits, receipting and thank you letters
  • Meet with Kettle Location managers to set up placement of kettles and ensure good relations with each location
  • Receive and respond to telephone calls from volunteers or general public wishing to volunteer
  • Recruit volunteers for kettles by making contact with local Churches, Service Clubs, businesses and previous volunteers
  • Create and oversee kettle scheduling and ensure kettle locations are adequately staffed
  • Stand at kettle locations as required ensuring necessary coverage in emergency situations (illness, no show etc.)
  • Pick up and drop off Kettle equipment and supplies as required
  • Maintain online database


  • Adhere to all health and safety policies and procedures in place; complies with all instructions from the employer concerning health and safety as per the Occupational Health & Safety Act and WSIB
  • Ensure all procedures, rules and guidelines for the safety and security of staff and clients are enforced and respected.
  • Perform regular safety checks
  • Schedule regular maintenance and repairs as needed



  • Successful completion of bookkeeping / accounting certificate / diploma from a recognized institution

Experience and Skilled Knowledge Requirements  

  • 2 years relevant experience

Skills and Capabilities:

  • Strong working knowledge of computer systems including MS Word, Excel, Publisher and Power Point
  • Ability to multi-task and have demonstrated a high level of organization, accuracy, attention to detail and time management skills
  • Excellent written and verbal English communication skills
  • Knowledge of Shelby, SAMIS, UltiPro, Agresso and Volunteer Scheduler Pro data bases an asset
  • Exceptional relationship building skills and the ability to work as an individual contributor as well as in a team environment
  • Ability to demonstrate patience, tact, and discretion in stressful situations
  • Ability to maintain information in confidence and exercise good judgement
  • Possess a valid unrestricted driver’s license
  • Current and valid certification in First Aid/CPR is an asset

Successful candidate will be required to provide upon hiring:

  • A clear vulnerable sector screening
  • A clean drivers abstract
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 20 hours per week. Must be able to work the occasional evening and/or Saturday
