Position Purpose Summary:

This position reports to the Director of Ontario Camping Ministries or designate. This position reports directly to the Office Manager, and takes direction regarding work assignments from the administrative management team.  The registrar’s primary responsibility is to work with the public and stakeholders to ensure campers are registered for camp, and receive all the necessary information for their camping experience i.e. payment, expectations, packing etc.


  • Provide accurate, timely and highly organized administrative support including preparing memos, thank you letters, decision reports, registration materials, taking minutes, maintaining files, preparing presentations and reports and any other documentation for administrative team
  • Responsible for the organization and maintenance of the filing system (electronically or manually) for the administrative team
  • Build and Maintain the registration, Trailer Park and groups database on Camp Brain (e.g. Book and enter camp and staff applications, prepare invoices etc.)
  • Liaise with group organizers to book guest groups including equipment requests, food and allergy needs, meeting spaces, special requests such as ropes activities etc.
  • Meet with guest groups for their camp arrival and liaise with group hosts to ensure they understand the needs of the group and details of their booking
  • Manage Camper and Trailer Park registrations and provide training materials and support to Ministry Units for registering campers for Adventure Camp
  • Provide support to guests registering campers for Shoreline Camps
  • Conduct tours and orientation of the premises to potential guest groups, enter group bookings
  • Enter bookings into Camp Brain, complete contracts, and ensure they are delivered in a timely manner.
  • Complete invoices and ensure payment target dates are met by following up and communicating with group organizers
  • Communicate itineraries for guest groups to appropriate staff assigned to serve groups
  • Work with contractors for updating web presence and camp logos
  • Perform general office duties such as answering phone, picking up messages, answering and screening telephone and email enquiries and/or resolve enquiries. Greet and escort or direct visitors
  • Responsible to open and distribute all incoming mail and process outgoing mail
  • Collect and prepare statistical information pertaining to registration, decision reports in an organized and timely manner
  • Photocopy and distribute materials as requested. Send and receive emails and faxes as requested. Pick up mail and packages on a daily basis
  • Draft and prepare presentations and promotional materials for camps, brochures, flyers, social media, and newsletters subject to supervisory approval. Assist with projects and reports
  • Order staff and camper t-shirts for the summer, and wristbands for campers, staff and visitors
  • Collect trailer park fees and assist with communications and emails to trailer park volunteers
  • Responsible to order office supplies for all departments and maintain adequate office supplies for administration
  • Responsible for keeping the store room, board room, and office reception area neat and organized
  • Overtime during the camping season will be required with Lieu time being taken in the post summer and Christmas shutdowns. Group liaising will require flexing the work day
  • Perform other position related duties as assigned

  • 2 year certificate from a community college (preferable in Business Administration) or equivalent work experience
  • Minimum of 2 years prior experience working in a Camp environment
  • Proficient in Microsoft Products (Word, Excel, Publisher, PowerPoint, Outlook etc.)
  • Proficient in Social Media (Facebook, Instagram, Twitter etc.)
  • Self-motivated and disciplined and ability to work independently as a self-starter
  • Strong Administrative, interpersonal and communication skills both verbal and written
  • Ability to use tact and diplomacy when dealing with the public, both in person, phone, and through written communication
  • Effective multi-tasking skills in a fast paced environment with proven attention to detail and aptitude for accuracy and thoroughness as well as consistent follow-up skills
  • Strong organizational skills to effectively handle multiple priorities, and ability to meet deadlines with minimal supervision
  • Valid Ontario Class “G” License with own transportation
  • Support for and an understanding of the mission and purpose of The Salvation Army in Canada
  • Able to lift/move up to 20 lbs.

Successful candidate will be required to provide upon hiring:

  • A clear vulnerable sector screening
  • A clean drivers abstract
  • A clear internal abuse registry check
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 40 hours per week. Schedule may vary according to requirements of responsibilities – occasional weekend and evening work may be required during camp season and/or during guest rentals on site

Normal location of work is at Jackson’s Point Camp.
