Position Purpose Summary:

Reporting to the Executive Director, the Guest Relations Program Coordinator is responsible for providing leadership the group retreat ministry of the Ontario Camping Ministries (OCM). Guest/ Community groups include a variety of youth, family and adult retreats as well as Shoreline Camps, and operate year round on the Shoreline Camp property. This position will expand and grow retreat ministry and group rentals that happen ten months of the year.

 

Responsibilities

Group Relations

  • Network and represent OCM to internal and external customers/clients
    • Network with (SA). Reach out to Salvation Army ministry units in Ontario Central East (OCE) and Ontario Great Lakes (ONG) Divisions to form partnerships, promote camp and attract group rentals and retreats for their local ministry groups (e.g. Women’s, Men’s and Youth groups etc.)
    • Seek opportunities to promote OCM to churches within a 100 km radius of Jackson’s Point and organizations that result in expansion of existing programs or creation of new programs
  • Network and represent OCM to external organizations such as schools and music programs etc. in the York, Durham and Toronto School Boards to expand our market in these areas
    • Maintain regular contact with guest group representatives throughout the year to be responsive to the needs of groups
  • Work with OCM registrar to complete group bookings
    • To respond to inquiries regarding retreats with timely information on available dates, accommodations, meeting facilities, meals, activities, pricing, etc.
    • Review contracts based on estimated numbers, calculating guaranteed minimum fee and deposit required to hold reservation
    • Follow up with groups while on-site and subsequent to retreat regarding rebooking for following year
    • Give tours to visiting groups
  • Oversee guest group retreats
    • Working with OCM staff to ensure pre-arrival details are complete, including readiness of accommodations, meeting facilities, meals, activities, etc. This will include scheduled pre-retreat contacts with guest group representatives to review all such details in advance.
    • Working with OCM Office Manager to ensure adequate hosts and serve staff is booked for guest group weekends
    • Arrange to have the camp welcome and orientation presentation provided for each group
    • Ensure hosts are prepared to provide guest services as needed, including coordinating response to program, housekeeping, maintenance and emergency needs that occur during retreats. Hosts are prepared to greet, welcome and give directions to groups upon arrival.
    • Develop creative ways to enhance service and hospitality to guests
    • Coordinate efforts of all camp staff involved in hosting and serving guest groups

Program Development

  • Develop family, youth, and community initiatives throughout the year to provide programming that will augment congregational/community ministry at the local level and contribute to the growing of God’s kingdom. This position will seek to enhance the local ministries of The Salvation Army, and in particular for those Ministry Units who don’t have the resources to offer programs in their own communities
  • Visit with Salvation Army and other group leaders with influence when they are onsite
  • Communicate with Salvation Army Ministry Units, churches, campers, and guests to keep them informed and engaged. Examples include:
    • promotional information for church calendars/bulletins
    • publication of newsletter
    • materials for church bulletin boards, bulletins and PowerPoint advertising
    • working with Corps Officers, youth pastors, and appropriate church designees to maximize Salvation Army participation in camp programs
  • Work with Office Manager to organize a guest and donor database
  • Work with Divisional Youth Secretaries in Ontario to develop Camping Opportunities for Ministry Units in the province
  • Ensure bookings are smooth, ensure there are no double bookings
  • Evaluate programming and gather feedback to make improvement and changes
  • Liaise with Divisional Camp Coordinators, and Camp Leaders for Camp Planning and to ensure coordination of facility use for summer camps
  • Oversee and direct Shoreline Hosts for Shoreline camp support
  • Coordinate the creation and use of promotional strategies and published materials
    • Ensure that website is updated with current information regarding lodging, meeting facilities, pricing, etc.
    • Assist in the development and updating of promotional brochures, materials and other communications
    • Explore new and expand existing program ideas and markets for potential retreats at camp conferences, opportunity fairs, email, personal visits and other means to promote retreat services
    • Ensure that OCM is represented in a variety of media sources that reach our target markets: advertisements, social media, video sites, the camp website, search engines, directories, etc.
  • Perform other duties as assigned
  • Provide assistance to guests and other staff members as needs arise

The individual must be willing to work in a camp setting with varying weather conditions and physical requirements. Individuals must possess the physical ability to lift, carry and operate a variety of equipment (recreation/maintenance/kitchen), as well as to make their way around camp on foot.

 

Qualifications

  • Diploma in Outdoor education/ Recreation
  • 2-3 years’ experience of program development
  • 2-3 years’ experience Marketing programs
  • Exceptional relationship building skills
  • Superior organizational skills, planning and attention to detail
  • Demonstrated strong communication skills (written and verbal)
  • Previous experience with graphic design or brochure creation an asset
  • Able to present to large groups
  • Able to multitask and work with minimal supervision
  • Able to work as part of a larger team and independently
  • Exceptional computer skills and able to work with MS Office, WordPress, and social media
  • Must be able to travel around Ontario
  • Must have a valid driver’s license and access to a reliable vehicle
  • Working within a camp environment considered an asset
  • Experience working in the field of Christian education and Youth Ministry considered an asset
  • Able to lift 25 pounds
  • Able to maneuver the uneven grounds at camp
  • Must be able to work at least one weekend per month, accommodations will be provided during weekends and during the summer should they be required
  • Able to work in a variety of weather conditions such as hot and humid, cold and damp and during raining/windy weather

Successful candidate will be required to provide upon hiring:

  • A clear vulnerable sector screening
  • A clean drivers abstract
  • A clear internal abuse registry check
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 40 hours per week, must be able to work evenings and weekends

The Coordinator will work one weekend per month or when a key prospect group is on camp and generally concludes his or her work week on Sunday after groups have departed and camp clean-up has been completed. This schedule may vary depending on the timing of groups at camp, but generally concludes by early afternoon.  Accommodations are provided on weekends and during the summer.
