Position Purpose Summary:

To provide administrative support to North Toronto Community Church under the direction of the Corps Officers.

 

Responsibilities

General office duties

  • Receive and direct phone calls and/or messages in a prompt, friendly, compassionate and efficient manner
  • Greet and/or direct individuals to services required during normal working hours, ensuring security and confidentiality guidelines are maintained
  • General correspondence as directed from the corps officers
  • Responsible for oversight and reconciliation of North Toronto petty cash
  • Assist with weekly deposit of cartridges and offering as necessary
  • Update or change phone greetings and the outdoor electronic sign as required
  • Receive, date stamp and distribute all unopened mail to the appropriate individual or department
  • Receive, document and provide temporary receipt of donations, forward to person in charge
  • Photocopy documents as required
  • General upkeep of the supply room
  • Monitor and maintain an adequate stock level of office supplies, spiritual materials/booklets etc.
  • Prepare weekly corps bulletin as information is provided
  • Provide updates to media coordinator for website
  • Send out bulletins to Corps members and mail bulletins to extended Corps family members as required
  • Verify receipt of stock delivery/merchandise with packing slip
  • Ensure volunteer sign in/out
  • Maintain monthly calendar (including booking of rooms)
  • Arrange for repairs to quarters and church building as requested

Administration

  • Prepare and/or file various forms of correspondence as required by corps officers
  • Minute taker of various meetings, forwarding minutes to corps officers for approval prior to sending out to committee members
  • Input Salvation Army Management Information System (SAMIS) data and forward statistics to headquarters as required
  • Scan invoices to Octacom
  • Assist with processing of petty cash requisitions and Travel and Expense Management (TEM) submissions
  • Maintain and update inventory lists on a regular basis
  • Set up and process all church building rentals
  • Maintain control log of key distribution of keys at church building
  • Provide support to the corps officers in the preparation of church-related documentation, certificates and record keeping

Health & Safety

  • Work in a safe manner, in accordance with all applicable WSIB / TSA policies and practices.
  • Participate in workplace inspections as required
  • Compete other related duties as assigned

Seasonal

  • Assisting with recording and receipting charitable donations, mailing of official receipts and thank you letters
  • Assisting with scheduling of kettle workers and general support to kettle coordinator as required

Qualifications

  • Completion of high school and a minimum 1 years’ related experience
  • Ability to work within the Mission and Vision of The Salvation Army
  • Comfortable working in a Christian environment with the ability to demonstrate empathy and compassion
  • Excellent written and communication skills
  • Proficient computer skills including; Microsoft Office (Word, Excel, PowerPoint and Publisher), Internet and Social Media applications
  • Basic First Aid/CPR Certification preferred

Successful candidate will be required to provide upon hiring:

  • A clear vulnerable sector screening
  • Participate in our online Armatus Abuse Training and Health and Safety training required upon hiring, as well as updated annually

HOURS: 25 hours per week. Monday – Friday  10:00am - 3:00pm

Seasonally for November and December hours increase to 30 hours/week (as required)
