The Community Ministries Bookkeeper will be responsible for managing the office affairs of the Ministry Unit as it pertains to general operations and program specific requirements.

This is a full-time position at 37.5 hours per week.



  • Responsible for approving and signing cheques as processed by the trustee caseworker.
  • Maintains separate accounting for each client in the computer.
  • Photocopies all incoming cheques and make a deposit.
  • Disperses landlord cheques before the first of the month.
  • Prepares bank and gift certificate reconciliations monthly.
  • Prepares trustee accounting reports due in June and December for each client and deliver to the Ministry of Social Services.
  • Prepares accounting reports as required by the Ministry of Social Services.
  • Prepares trust fee billing for the Ministry of Social Services with the case manager.


  • Processes accounts payable and generation of payment instruments: monitors cash balance of local operating account to ensure sufficient funds available to issue disbursements.
  • Processes cash receipts and contributions from the general public, kettle campaign collection, congregational members, clients, etc.
  • Prepares and deposit funds in local bank, code for accounting system, issues receipts and report in computerized program as required for charitable giving.
  • Ensures the maintenance and accuracy of ledgers through regular review of general and sub ledger for accuracy: drafts and processes journal entries into the financial system.
  • Processes vehicle monthly element charges and invoices in travel and expense program.
  • Processes employee monthly credit card expenses and invoices in travel and expense program.
  • Prepares various account reconciliations including the bank and various sub-ledger reconciliations and applicable government reports.

Employee and Volunteer Relations:

  • Maintains and keeps up to date employee signed documentation of standards, policies and procedures.
  • Reviews and tracks employee skills and understanding of Employee Health and Safety Regulations.
  • Maintains confidentiality and keeps retention of employee and volunteer records.
  • Responsible for monthly staff meeting announcements and minute preparation.

Other Duties:

  • Other related duties as required by the Director of Community Ministries.

  • Participates fully and constructively in staff meetings and in service training.
  • Engages in formal evaluation sessions with your supervisor at 3 months of the first year of employment and quarterly thereafter.
  • Reads and follows the Policy and Procedures Manual and the employee handbook.
  • As applicable, suggests improvements to management.
  • Establishes and maintains an effective financial management system with strong internal control practices.
  • Represents the organization in a professional manner.


Minimum Education Level Attained:

  • Two Years of Community College

Special Licenses, Diplomas, Certifications or Requirements:

  • Accounting and/or Business Administration Diploma

Minimum Prior Related Experience:

  • 2 Years

Physical Effort/Dexterity Required:

  • The performance of the job requires a frequent amount of sitting, keyboarding and occasionally loading boxes at year end.

Concentration Required:

  • The performance of the job requires frequent attention to coding, moderate attention with data entry, reading financial reports, collating and distributing reports and preparing journal entries.

Responsibility for Financial Resources:

  • Manages deposits and Kettle counting
  • Signing authority for Trustee Program

Responsibility for Human Resources:

  • Files and maintains employee paperwork

Work Environment:          

  • Typically in the office in generally agreeable conditions
