Position Purpose Summary:

Under the direct supervision of the National Director of Marketing & Communications (NDMC), the Administrative Assistant – Marketing & Communications (AA-MC) provides general administrative support to the Marketing & Communications team.


Key Responsibilities:

  • Assist Marketing team with planning and posting for SA Social Media accounts
  • Assist with updating Communications and Marketing Calendar and Strategy Plan
  • Travel & Expense Management submissions for NDMC and Marketing & Communications team as needed
  • Book travel arrangements for NDMC and M&C team
  • Process mail and courier services
  • Process all invoices and expenses for M&C team
  • Scheduling of conference calls
  • Responsible for all administrative work related to national special events
  • Assist with transcribing videos and upload on Youtube as required
  • Liaise with media agencies, ensuring project deadlines are met and design needs are kept on track for M&C team
  • Assist with sorting and directing NDMC emails and ensuring that no emails are missed
  • Manage NDMC calendar on a daily basis and prepare paperwork for meetings when necessary
  • Responsible for customer service for Marketing & Communications team clients/stakeholders
  • Set up meetings and order refreshments, food as required
  • Take minutes of meetings, as required
  • Prepare routine correspondence
  • Assist with special projects and/or other general office duties as assigned
  • Share responsibility of relief receptionist’s duties at THQ main lobby, as required
  • Other duties as assigned


Qualifications and Education requirements:

  • Complete post-secondary diploma in related field from an accredited program


  • Minimum 2 years’ experience in an administrative role
  • Minimum 2 years customer service experience
  • Proficiency in Microsoft Office including Excel, PowerPoint, Word, Outlook, Office 360

  • Must possess excellent time management and organizational skills
  • Ability to handle difficult situations and conversations with tact and build solid, lasting relationships.
  • Ability to meet deadlines
  • Excellent communication skills both written and verbal
  • Provide accurate and timely reporting
  • Provide good customer service skills
  • Ability to think outside the box and handle unforeseen challenges related to event administration
  • Be a strong, enthusiastic team player
