This is a permanent full-time position based on 35 hours per week.  Schedule may vary according to requirements of responsibilities – some weekend and evening work may be required.

Normal hours of work – 9:00 a.m. to 4:30 p.m. Monday to Friday and includes a ½ hour unpaid meal break.

  • Perform general office duties such as answer and screen telephone calls and direct enquires, and answer and resolve routine inquires; greet and escort visitors; file documents electronically or manually; photocopy and distribute materials as requested; and send and receive fax/email material as requested, including forwarding email enquiries to appropriate person.
  • Handle all mail including pickup at post office, distribution of incoming mail and process of outgoing mail, which maybe of confidential nature; receive parcel(s) and distribute to the appropriate person(s).
  • Draft and type correspondence dealing with administrative issues.
  • Type and circulate minutes, prepare weekly church bulletin, fliers, draft monthly calendars, advertisements, invitations etc. prepare/post items on outside message board.
  • Oversee/maintain master calendar for all groups and coordinate groups using building both internal and community requests.
  • Coordinate details associated with all facility rentals, including preparing lease and rental agreements, and accepting monetary payments for building rentals.
  • Administrative support to corps programming, including events and camps.
  • Build and maintain databases (e.g., corps rolls, contact lists, and maintain data input into the Salvation Army Management information system – SAMIS), process corps transfers.
  • Perform various accounting duties for the Corps such as coding and submission of accounts for processing by regional accounting centre (RAC), accounts payable invoices, accounts receivable, handle/reconcile petty cash, expense reimbursements, and process account statements and invoices through Travel Expense Management (TEM), etc..
  • Record and process vacation and sick time for employees in UltiPro.
  • Order all stationery supplies and maintain adequate inventory of office supplies and other supplies for the Corps, and arrange for maintenance of office equipment.
  • Ensure the general cleanliness and orderliness of the front entrance and reception area, update publications and displays as required.
  • Submit completed Statement of Application to Work with Children and Youth to the Divisional Youth Department for processing.
  • Process applications and payments from the corps for corps, divisional and territorial events.
  • Perform other position related duties as assigned.


  • Completed Secondary School with some post-secondary education of up to six (6) months, preferably in Business Administration
  • Minimum of one (1) year of prior related experience, including administrative experience, and experience dealing with office equipment and tools
  • Strong oral and written communication skills
  • Self-motivated and disciplined
  • Ability to maintain information in confidence and exercise good judgement
  • Ability to maintain a high level of accuracy and proven attention to detail
  • Strong organizational, prioritizing, and time management skills
  • Ability to lift/move 40 pounds
  • Proficiency in all Microsoft Office products is required - i.e. Word, Excel, Publisher, PowerPoint, etc.
  • Proficient in office procedures, i.e. telephone, photocopier, scanner, fax machine, room reservations, etc
  • Proficiency in or willingness to be trained in Financial software system as needed (e.g. Shelby, Agresso, TEM)
  • Ability to work in a fast paced environment, with proven attention to detail and aptitude for accuracy and thoroughness and consistent follow-up skills and flexibility
  • Demonstrate strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines with minimal supervision
  • Adaptable, proactive, a self-starter and the ability to work independently
  • Ability to use tact and diplomacy when dealing with the public, both in person and on the telephone
  • Alternative combinations of education and experience may be considered.
  • Candidate to provide an original copy of a Background Check with vulnerable sector screening (where applicable). The screening is secured either through the National Canadian Policy Information Centre (CPIC) or through a local police detachment.  May require screening through The Salvation Army Abuse Registry.
