This is a permanent, part-time position based on 24 hours per week.  The work schedule is determined in consultation with your supervisor and may vary according to requirements of responsibility.  Normal hours of work are 8:30 a.m. to 3:00 p.m. Monday to Thursday and includes a ½ hour unpaid meal break where applicable.  Normal work location includes multiple locations - 625 Main St. E Listowel ON, and 326 Main St. E Listowel ON

  • Perform general office duties such as file documents; photocopy and distributes material, send and receive fax/email material, and resolves routine inquiries
  • Draft and type correspondence or generate reports (e.g. letters dealing with administrative issues); check typing for accuracy, sort and prioritize typing assignments within general guidelines; research and respond to difficult.
  • Maintain and ensure the protection of extremely confidential and sensitive files.
  • Draft and prepare presentations, brochures, fliers, advertisements, invitations, certificates subject to supervisory approval (e.g. power point presentations)
  • Open and distribute in-coming mail and process out-going mail including materials of a confidential nature; receives parcel(s) and distribute to the appropriate person(s)
  • Order all stationery supplies and maintain adequate office supplies and other supplies as needed (e.g. kitchen or lunchroom supplies); may arrange for maintenance of office equipment
  • Liaise with community, department heads, Corps Officers, Divisional Headquarters and Territorial Headquarters as required.
  • Perform various accounting duties such as coding of accounts payable invoices, accounts receivable, handle and reconcile petty cash, and other related accounting duties (e.g. bank deposits.)
  • Keep employee records up-to-date by processing employee information changes in a timely manner
  • Maintain personnel files in compliance with applicable Salvation Army and legal requirements
  • Maintain an accurate, ongoing record of all donations and send acknowledgement letters.


  • Schedule appointments, meetings, prepare/distribute agendas; take minutes; type and circulates minutes.

  • Draft and prepare bulletins, presentations, brochures, fliers, advertisements, invitations, certificates subject to supervisory approval (e.g. power point and Easy Worship presentations.)
  • Prepare and receive all paper work for various projects and processes (e.g. annual review.)
  • Maintains databases (e.g. SAMIS; employee/volunteer information; contact lists, inventory.
  • May schedule or keep track of Corps Officer(s) calendar; make travel arrangements; change arrangements and provide reminders including support documentation.

Community and Family Services

  • Build and maintain databases (e.g. employee/volunteer information, contact lists, inventory, hours worked etc.), maintains input into Link2Feed monthly data entry.
  • May assist with family services client intake and the Christmas Kettle Campaign as directed and special events.
  • Provide administrative support to Community and Family Services programming.
  • Prepare the annual Christmas Report in an accurate and timely manner
  • Maintain Facebook page
  • Perform other position related duties as required.


  • Completed two (2) years of Community College a Business Administration Certificate is preferred.
  • Minimum of two (2) years of prior related experience, including administrative, human resources and general accounting experience (Note: An alternative level of education and experience may be acceptable)
  • The incumbent should also have experience dealing with office equipment and tools.
  • A flare for Desktop Publishing (brochures, posters, bulletins, etc.)
  • Ability to work with minimal supervision
  • Exceptional attention to detail and strong organizational skills
  • Strong oral and written communication skills
  • Self-motivated and disciplined
  • Demonstrate strong organizational, prioritizing and time management skills to effectively handle multiple priorities and meet competing deadlines with minimal supervision
  • Adaptable, proactive, a self-starter and the ability to work independently

  • Ability to learn, adapt, and utilize technology and processes quickly

  • Ability to prioritize tasks in a fast paced, changing environment through frequent interruptions and changing deadlines.
  • Ability to clearly and concisely, compose/proofread/edit documents such as letters, memos and e-mail.
  • Must have strong interpersonal and communication skills (written/oral) and an ability to work cooperatively with other managers and community partners, to create a working climate within their team that is positive and mutually supportive
  • Ability to lift/move more than 10 lbs. (9kg)
  • Proficient in Microsoft Office products including Word, Excel, PowerPoint and Access
  • Experience and/or working knowledge of other computer programs such as Adobe and Lotus Notes would be a definite asset
  • Provide an original copy of a Background Check screening that is satisfactory to The Salvation Army, in its sole discretion, is required. The screening is secured either through the national Canadian Police Information Centre (CPIC) or through a local police detachment
  • May require screening through The Salvation Army Abuse Registry.
  • Support for and an understanding of the mission and purpose of The Salvation Army in Canada.
