The Administrative Assistant position leads and coordinates all secretarial and administrative duties at Southlands Community Church. The incumbent also performs a variety of accounting duties.

This is a part-time, fixed term indefinite position at 24 hours per week, Monday - Thursday.

KEY RESPONSIBILITIES:

Service Responsibilities

  • Performs general office duties such as answer phone, screens calls; hosts visitors; files documents electronically and/or manually; photocopies / distributes materials as requested; sends & receives fax / email material as requested; resolves routine inquiries.
  • Processes invoices according to Salvation Army procedures; handles and reconciles petty cash and delivers bank deposits, as well as processes visa and personal claims of Officers.
  • Drafts and types correspondences; generates reports; checks typing for accuracy; sorts and prioritizes typing assignments within general guidelines; researches and responds to inquiries on behalf of the Corps Officer(s).
  • Drafts and prepares presentations, brochures, flyers, advertisements, invitations, church programs, certificates subject to supervisory approval (e.g. PowerPoint presentations).
  • Schedules meetings; prepares agenda and takes minutes; types and circulates minutes.
  • Handles and ensures the protection of extremely confidential and sensitive files.
  • Maintains databases (e.g. SAMIS; employee / volunteer information; contact lists; inventory; hours worked).
  • Retrieves, opens and distributes in-coming mail and processes out-going mail including materials of a confidential nature; receives parcel(s) and distributes to the appropriate person(s).
  • Prepares and receives all paper work for various projects and processes (e.g. Church annual general meetings; Church annual reviews).
  • Orders all stationary / office supplies and maintains adequate office supplies and other supplies as needed (e.g. kitchen, lunch room supplies); maintains adequate postage supply; may arrange for maintenance of building equipment.
  • May schedule or keep track of Corps Officer(s) calendar; make travel arrangements; change arrangements and provide reminders including support documentation.
  • May recruit, coordinate and assign work of volunteers and/or support staff.
  • Assists in booking rentals.
  • Assists with Day Camp registrations and funding (including on-line registrations).
  • Creates and distributes official donation receipts.
  • Performs payroll and HR duties. Includes but is not limited to: payroll, organizing hiring packages, and answering HR related questions.
  • Performs other duties as assigned.

Organizational Responsibilities

  • Attends staff meetings as required.
  • Maintains familiarity and adherence with standards and procedures of The Salvation Army and Southlands Community Church.
  • Works co-operatively with staff and volunteers at Southlands Community Church.
  • Positively promotes Southlands Community Church to the community.

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

Minimum Education Level Attained:

  • The successful job applicant will have completed up to two (2) years of Community College.

(Note: An alternative level of education & experience may be acceptable)

Special Licenses, Diplomas, Certifications or Requirements:

  • Hold a valid Business Administration Certificate
  • Current CPIC and screening through internal abuse registry
  • Must clear Child Abuse and Adult Abuse Registry Checks
  • Must have clear Police Check
  • Must have certificate in first Aid/CPR or willingness to receive training
  • Must participate in SA Armatus Training for abuse prevention

Minimum Prior Related Experience:

  • No less than one (1) year of prior related experience, including, experience working with children and youth.
  • Experience dealing with office equipment and tools

 

PREFERRED SKILLS/CAPABILITIES:

  • Works independently with minimal supervision
  • Has strong working knowledge of Microsoft Office, including Excel, Word, Outlook Express, Publisher, PowerPoint, and has strong Internet knowledge / skills
  • Problem solving and multitasking abilities
  • Good interpersonal skills, with the ability to work co-operatively in a team setting.
  • Ability to give oversight to volunteers
  • Positive and encouraging attitude
  • Must be able to maintain confidentiality and discretion
  • Supportive knowledge of the mission of the Salvation Army
  • Relational skills
  • Ability to work efficiently and effectively in a fast-paced work environment
