Description

The Administrative Assistant provides administrative and/or special project support for a manager or team of managers.

This is a summer term position for 8 weeks.  Hours of work are 8:30am – 4:30pm (1 hr unpaid lunch).

Responsibilities

  • Performs general office duties such as answering and screens telephone and directs enquiries and answers inquiries; greets and escorts visitors; files documents electronically or manually; photocopies, scans and distributes materials as requested
  • Builds and maintains databases (eg. Employee and volunteer contact list)
  • Drafts and prepares presentations, brochures, invitations, flyers and creates and updates web pages
  • Prepares and receives all paperwork for various projects and processes
  • Welcomes and enrolls new clients into data system
  • Performs other duties as assigned

Qualifications

Minimum Education Level Attained:

The successful job applicant will have completed high school, plus specialized courses of up to 6 months.

Minimum Prior Related Experience:

One year but less than 3 years of prior related experience, including, administrative experience and experience dealing with office equipment and tools.

Physical Effort/Dexterity Required:

The performance of the job requires a moderate amount of sitting, walking, and keyboarding and occasionally standing, bending, and lifting up to 10 pounds.

Concentration Required:

The performance of the job requires a moderate amount of computer/word processing and keyboarding, attentive listening, and telephone calls.

Responsibility for Financial Resources:

N/A

 

Responsibility for Human Resources:

The incumbent is responsible for their own time and effort only. They may demonstrate work methods to new employees.

Work Environment:

The incumbent works in generally agreeable conditions, with the following exceptions:

  • Dealing with angry people
  • Verbal Abuse
  • Frequent interruptions and multitasking
  • Temperature variations (i.e. front door opening and closing)
  • General office noise

Exposure to Hazards:

The incumbent may be exposed to the risk of minor harm, injury, or illness due to:

  • Physical attacks by others (clients or public)
  • Exposure to infectious disease
  • Exposure to toxic chemicals
