  • Full Time – 25 hours per week


Position Purpose summary:

The Administrative Assistant position provides administrative support for the church staff and community services teams.


  •  Drafts and types correspondence and communication on behalf of pastors and managers as needed.
  • Performs general office duties such as answers and screens telephone and directs and answers inquiries; greets and escorts visitors; files documents electronically or manually; photocopies and distributes materials as requested; and sends and receives fax/email material as requested; resolves routine inquiries.
  • Builds and maintains databases (e.g. employee/volunteer information, contact lists, Church members, inventory, hours worked); maintains input into Salvation Army Management Information System - S.A.M.I.S.
  • Assists officer/managers in entering data for expense reports.
  • Drafts and prepares presentations, brochures, flyers, advertisements, thank you letters, invitations, certificates subject to supervisory approval (e.g. power point presentations)
  • Ensures accurate calendar for church & community programming is available in print and digital forms (as applicable).
  • Manages rental agreements, rental calendar, and communications with rental clients.
  • Schedules meetings, prepares agenda, and takes minutes; types and circulates minutes
  • Opens and distributes in-coming mail and processes out-going mail which may be of a confidential nature; receives parcel(s) and distributes to the appropriate person(s)
  • May order all stationery supplies and maintain adequate office supplies and other supplies as needed (e.g. kitchen or lunchroom supplies); may maintain postage meter supply; may arrange for maintenance of office equipment
  • Maintains building service & repair contracts.
  • Prepares and receives all paper work for various projects, events and processes.
  • Receive monetary donations from community members and prepares receipts for donors
  • Assists in basic Community Service functions (i.e. writing client vouchers).
  • May assist in the preparation and processing of deposits and subsequent backups
  • Supports Christmas Kettle Coordinator with scheduling kettle volunteers
  • May work occasional evening or weekend shifts for special events and/or meetings.
  • Performs other duties as assigned



  • The successful job applicant will have completed high school, plus specialized courses of up to six (6) months.


  • One year but less than three years of prior related experience, including, administrative experience and experience dealing with office equipment and tools.

 Required Skills/Knowledge:

  • The successful job applicant will have completed high school, plus specialized courses of up to six (6) months.

Successful candidates, prior to hiring, may be required to provide:

  • Completion of our online Armatus Abuse Training and required Health and Safety training
