Position Purpose Summary:

The Administrative Assistant will provide high level executive administrative support to the Assistant Chief Secretary for Organizational Development (ACS-OD), Chief Information Security Officer (CISO) and the Chief Risk Officer (CRO).

Responsibilities

Key Responsibilities:

  • Manage the schedule/correspondence for the Assistant Chief Secretary for Organizational Development (ACS-OD), Chief Information Security Officer (CISO) and the Chief Risk Officer (CRO), anticipating needs and preparing responses
  • Coordinate travel needs of the Assistant Chief Secretary for Organizational Development (ACS-OD), Chief Information Security Officer (CISO) and the Chief Risk Officer (CRO);
  • Coordinate meeting logistics including video conferencing, teleconferencing using Zoom
  • Manage the calendar for the ACS-OD, CISO and CRO
  • Attend meetings, prepare/circulate agenda and minutes
  • Assist with basic research for strategic planning
  • Coordinate travel arrangements for the ACS-OD, CISO and CRO
  • Arrange online surveys for operational reviews, etc. and summarize results for presentation
  • Edit policies to assure accuracy, best practices and       compliance with organizational expectations
  • Serve as back up for the Administrative Assistant in the Internal Audit Department
  • Prepares and reviews budget submissions for presentation to Territorial Finance Council
  • Support department/section leads with operational matters pertaining to budgets throughout the year
  • Review and analyzes monthly comparison statements to assure compliance and investigate discrepancies
  • Monitors departmental expenditures and may liaise with finance official
  • Process local expenditures
  • Event planning and coordinating of Special Events such as       Commissioning, TEC/TLC, Territorial Leader Conference, Leader Summit, etc.
  • Negotiate contract venues for Territorial Leaders Conference, Territorial Executive Conference, Leader’s Summit, Department Head Meetings, etc.; partner with external vendors when making arrangements for meetings
  • Maintain contracts for special events (e.g. rental, AV, etc.)
  • Create print material to promote event including brochures etc.
  • Flexibility to travel to help with logistics at special events and meetings when required
  • Maintain project database for special events
  • Compile and synthesize large volumes of data and research
  • Develop and participate in communication strategies
  • Coordinate training roll-out
  • Conducting research needed
  • Preparing reports
  • Present regular written project updates to Territorial Management Board, and Focus Group participants
  • Manage budget for projects
  • Receive annual budget submissions from Chief Secretary for Organizational Development (ACS-OD), Chief Information Security Officer (CISO), Director of Internal Audit and the Chief Risk Officer (CRO); making recommendations that assure compliance with territorial fiscal strategies and practices.
  • Prepares and reviews budget submissions for presentation to Territorial Finance Council
  • Support department/section leads with operational matters pertaining to budgets throughout the year
  • Review and analyzes monthly comparison statements to assure compliance and investigate discrepancies
  • Prepare files for annual performance appraisals of all staff reporting to ASC-OD, CISO and CRO
  • Coordinate merit increase process for all staff
  • Other duties as assigned

 

Qualifications

  • Post secondary diploma in office administration related discipline preferred or combined with 5 years administrative experience
  • 5 years’ experience working in executive office administration
  • Proficient in Microsoft Office products (MS Word, Excel, PowerPoint) and able to learn new systems (Ultipro, Connections) with ease.
  • Experience with organizing special events, team meetings, etc.
