This position provides administrative support, inclusive of organization and communication of the CRC office tasks, as well as volunteer oversight of CRC volunteers. In addition, it includes assisting the Volunteer Coordinator during the Christmas Kettle campaign.

DAYS and HOURS of work: Monday to Friday; 40 hours per week


Office Administration and Financial Reporting
• Performs general office duties, including answering phones, responding to voicemails, greeting visitors, filing documents (manually and electronically), copying, distributing materials including mail, sending and receiving emails and faxes
• Orders office supplies or arranges for their purchase through identifying need
• Inputs statistical information and maintains files/statistics for The Salvation Army in SAMIS, Link2Feed and other assigned software
• Performs various accounting functions: coding invoices/internal transfers through TEM and Agresso, documenting and making deposits, prepares and issues receipts, etc.
• Maintains HR/ER electronic and hard copy files and resources. This includes maintaining the employee profiles in the HRIS.
• Ensures the protection of personal and sensitive data
• Prepares agenda and minutes for meetings
• Works with donor relations and divisional grant writer for finding and completing grant opportunities relevant to the CRC
• Prepares required program and financial reports for FCSS
• Maintains a positive and respectful office environment
• Performs other administrative duties as requested

Volunteer Coordination and Engagement:
• Oversees volunteers at the CRC facility, including providing volunteers with tasks and ensuring they are completing assigned tasks in an appropriate manner
• Communicating with volunteers about existing and upcoming volunteer activities at the CRC
• Endeavors to create and maintain a positive volunteer environment
• Endeavors to engage volunteers and match them with volunteer activities of interest to that volunteer
• Assist Volunteer Coordinator with recruitment and engagement of volunteers

Oversight of Online Presence:
• Updates CRC website with new information, as requested.
• Monitors social media accounts for the CRC, including responding to general/routine questions and comments received through social media
• Posting approved content to social media accounts for the CRC, as requested
• Work in conjunction with public relations and other staff to develop ways to enhance our online presence

Administrative support for the Christmas Kettle Campaign:
• Assist with various organizational tasks related to preparing for the Christmas Kettle campaign, including contacting and organizing volunteers and kettle locations, obtaining appropriate relevant paperwork from THQ, revising promotional materials related to the Christmas Kettle campaign, and preparing kettle stands and kettle kits for the Christmas Kettle campaign
• Posting approved social media content related to the Christmas Kettle campaign to the social media accounts of the CRC
• Assisting other Christmas Kettle employees with daily tasks during the Christmas Kettle campaign, including setting up and taking down kettle locations, contacting kettle volunteers, and refilling kettle kits with supplies


Education, Qualifications and Certifications:
• Completion of Diploma or Certificate in related or complimentary field or 3 years equivalent experience in relative role

Experience and Skilled Knowledge Requirements
• 2-3 years prior related office experience

Preferred Skills and Capabilities:
• Excellent communication and interpersonal skills required
• Knowledge of MS Office Suite and other office software applications
• Knowledge of social media applications
• Knowledge of photo editing and desktop publishing applications
• General computer and networking knowledge is an asset
• Respect and understanding of The Salvation Army - its mission, culture, and values
• Respectful and courteous demeanor
• Able to take direction from supervisor and work as a contributing member of a team
• Self-motived, organized, and high work ethic
• Able to perform responsibilities in a timely and efficient manner

Successful candidate, prior to hiring, may be required to provide:
• Background check consent
• A clear criminal reference check and/or vulnerable sector screening
• A valid driver’s license and clean driver’s abstract
• Completion of our online Armatus Abuse Training and required Health and Safety training
